Job Description
Office Administration
  • Answering mainline telephone calls and front door
  • International courier
  • Flight bookings, travel insurance and visas for staff business trips
  • Company mobile phones
  • Distribution of mail
  • Verifying admin related invoices and company credit card receipts
  • Managing and ordering office supplies and equipment
  • Liaising with building management and office vendors
  • Translation of company documents (presentations, e-mails, kiansho)
  • Compilation of overseas trip application forms for Singapore Group expats
  • Manage overseas guests Hotel bookings, Refreshments, restaurant reservations
  • Prepare Creative Exercise for Management Meeting
  • Arrange Coffee & Learn sessions
  • Internal newsletter  editing
  • Sending festive greeting to customers (greeting cards, CNY hampers)
  • Manage corporate donations to organization such as Babes, JAS
Personal Assistant to Managing Director
  • Hotel bookings, visa applications, rental wifi reservations for business trips
  • Schedule reminders
  • Updating the calendar
  • Adhoc personal requests
Requirements
  • Minimum diploma in business-related function
  • At least 3 years of relevant working experience
  • Able to work independently as well as in a team with good internal personal skill
  • Excellent communication skills to interact with people from all levels. Candidates proficient in Japanese language will be advantageous to communicate in/our of office
